How to enter data in SEP

Log in to https://sep.ub.fu-berlin.de using your ZEDAT-account. On the starting page, you can start the entry process by selecting the publication type from the drop-down menu:

If you know the DOI for the journal article, book chapter, or book, we recommend entering the data automatically using DOI. DOIs always begin with 10 and have the format: 10.Organisation/ID (e.g.,10.1109/CEC48606.2020.9185754).

If you don't have a DOI, click the blue button to proceed directly to the input mask.

Obligatory fields are marked with an * on the form. If you cannot find information for the other fields, you may leave them blank.

The DOI automatically retrieves the publication’s details (book, article, paper, abstract, review, etc.) from the CrossRef database, including all contributing authors. Subsequently, all FU-Employees must also be entered using the "Autor*in hinzufügen" (Add author) and "Suche FU-Beschäftigte" (Search FU-Employees) buttons, as this is the only way to link the publications to the individual cost accounts in SAP for the University Management Executive Board’s performance-based funding calculation!

Duplicate authors can be deleted; the order of authors can be corrected using the arrows or will be corrected by the University Bibliography Team.

The authors' names are entered exactly as they appear in the publication, in the order listed there. At least one author of the publication must be a FU-Employee in order to save the entry.

Use the "Autor*in hinzufügen" (Add Author) button to open the form for entering author information. FU-Employees must be entered via "Suche FU-Beschäftigte" (Search FU-Employees). Enter the last name (see also tip) and click "suchen" (Search). Once you have found the correct person, click "auswählen" (Select), apply the FU-employee’s SAP cost account entry corresponding to the publication year, and then confirm the change by clicking "speichern" (Save).

Tip: Start your search for a name with an * (e.g., rojas generates 0 results, *rojas*  generates several double surnames including "rojas".)

Enter external authors using the buttons "Sonstige*n Autor*in hinzufügen" (Add other authors) or "Listenerfassung sonstiger Autor*innen" (Add several other authors).

For professors emeriti, lecturers, visiting scholars/scientists, grant holders, who are not listed in the in "Suche FU-Beschäftigte" (Search FU-Employees), please select "Sonstige*n Autor*in hinzufügen" (Add other authors). Fill out the mask, select a FU-status from the drop-down menu, and then select the appropriate organizational unit (just type the first few letters, e.g., example "alte ge", then options such as "Arbeitsbereich: Alte Geschichte" will be offered to you.)

You have the option to add authors with more than one publication to your personal favorites list ("Meine Favoriten" in the header) and then import them from there the next time you enter data. Simply select the button "Zu Favoriten hinzufügen" (Add to favorites) at the bottom of the contact list. 

Click the "Entwurf speichern" (Save draft) button to save your entries temporarily. Clicking the "Entwurf speichern" (Save for entry) button saves a title temporarily but does not yet release it. In this editing status, you can make corrections to the entry or delete it at any time. Once you have completed all entries, use the "Publikation an UB freigeben" (Release publication to UB) button to definitively finalize this entry for further processing by the University Bibliography. You can no longer make any corrections at this point. 

Select the publication type “Zeitschriftenaufsatz” (Journal article) from the drop-down menu.

Proceed to the entry form using DOI - or continue without DOI:

Enter the names (last name, first name) of all contributing authors in the order and spelling specified in the publication using the button “Autor*in hinzufügen” (Add author). FU-Employees must be entered via “Suche FU-Beschäftigte” (Search for FU-Employees), while external authors (professors emeriti, lecturers, visiting scholars/scientists, grant holders) must be entered via “Sonstige*n Autor*in hinzufügen” (Add other authors) or “Listenerfassung sonstiger Autor*innen” (Add several other authors).

Please enter the journal’s ISSN in the field if you know it; the ISSN can be found on Ulrichsweb by searching for the journal’s name. Clicking the “Suchen” (Search) button will automatically fill in the journal’s name, place of publication, and publisher.

In the title field, enter the title of the article. You can enter any subtitle in the “Untertitel” (Subtitle) field.

The year of publication must be entered as a four-digit number.

The place of publication and publisher can be found in the journal (it’s not mandatory, simply leave the fields blank).

It is important to specify the volume and issue numbers in order to locate the article as quickly and accurately as possible. Some journals do not have volume numbers; simply leave the field blank. If the article appeared in a double issue, special issue, or supplement, indicate this as shown in the template.

The page numbers indicate the start and end of the article and thus its length. Please simply enter the numbers (4–8).

If the article has (also) been published online, you can add the URL in the “URL” field.

Should your publication be a short form (abstract, poster, etc.), please check the box “Kleinstpublikation”.

Information about the language in which the article was written is required. You can select the language from the alphabetically sorted drop-down menu; the most commonly used languages are listed at the top of the list.

In the comments field, you can provide additional information or ask questions for the university bibliography.

Select the publication type “Buchbeitrag” (book chapter) from the drop-down menu.

Proceed to the entry form using DOI - or continue without DOI:

Note: The field for the DOI refers exclusively to the DOI of the article, not of the entire book.

Enter the names (last name, first name) of all contributing authors in the order and spelling specified in the publication using the button “Autor*in hinzufügen” (Add author). FU-Employees must be entered via “Suche FU-Beschäftigte” (Search for FU-Employees), while external authors” (professors emeriti, lecturers, visiting scholars/scientists, grant holders) must be entered via “Sonstige*n Autor*in hinzufügen” (Add other authors) or “Listenerfassung sonstiger Autor*innen” (Add several other authors).

Please enter the book’s ISBN in the field if you know it. Clicking the “Suchen” (Search) button will automatically fill in the book’s name, place of publication, and publisher.

In the title field, enter the title of the book chapter. You can enter any subtitle in the “Untertitel” (Subtitle) field.

Editors can be natural persons or legal entities. Please enter the names of the editors or legal entities here, ideally as they appear in the book.

The year of publication must be entered as a four-digit number.

The place of publication and publisher can be found in the book (it’s not mandatory, simply leave the fields blank).

The “Bandzählung” (Volume) field is intended for specifying the volume of a multi-volume work.

The page numbers indicate the start and end of the article and thus its length. Please simply enter the numbers (4–8).

Certain books are published as part of a series; should you be aware of the series, please enter it in the “Schriftenreihe” (Series) field (e.g., Schriften zur Rechtswissenschaft; Vol. 232).

If the contribution has (also) been published online, you can add the URL in the “URL” field.

Should your publication be a short form (abstract, poster, etc.), please check the box “Kleinstpublikation”.

Information about the language in which the article was written is required. You can select the language from the alphabetically sorted drop-down menu; the most commonly used languages are listed at the top of the list.

In the comments field, you can provide additional information or ask questions for the university bibliography.

(2) Editorial work typically involves one or more editors publishing an anthology containing contributions from various authors.

Select the publication type “Buchveröffentlichung/Monografie“ (Monograph) or “Herausgabe eines Buchs/Sammelwerks” (Editorship book) from the drop-down menu.

Proceed to the entry form using DOI - or continue without DOI:

Please enter the book’s ISBN in the field if you know it. Clicking the “Suchen” (Search) button will automatically fill in the book’s name, place of publication, and publisher - except the authors or editors.

Enter the names (last name, first name) of all contributing authors or editors in the order and spelling specified in the publication using the button “Autor*in hinzufügen” (Add author). FU-Employees must be entered via “Suche FU-Beschäftigte” (Search for FU-Employees), while external authors” (professors emeriti, lecturers, visiting scholars/scientists, grant holders) must be entered via “Sonstige*n Autor*in hinzufügen” (Add other authors) or “Listenerfassung sonstiger Autor*innen” (Add several other authors).

In the title field, enter the title of the book. You can enter any subtitle in the “Untertitel” (Subtitle) field.

The year of publication must be entered as a four-digit number.

You can enter the edition of the book here in the “Auflage” (Edition) field (e.g., 2nd, fully revised edition).

The “Bandzählung” (Volume) field is intended for specifying the volume of a multi-volume work.

The place of publication and publisher can be found in the book (it’s not mandatory, simply leave the fields blank).

The page number of the book is included for the purpose of completeness of the bibliographic data.

Certain books are published as part of a series; should you be aware of the series, please enter it in the “Schriftenreihe” (Series) field (e.g., Schriften zur Rechtswissenschaft; Vol. 232).

If the contribution has (also) been published online, you can add the URL in the “URL” field.

Information about the language in which the article was written is required. You can select the language from the alphabetically sorted drop-down menu; the most commonly used languages are listed at the top of the list.

In the comments field, you can provide additional information or ask questions for the university bibliography.

Select the publication type “Herausgabe einer Zeitschrift, Schriftenreihe“ (Editorship journal, series) from the drop-down menu.

Proceed to the entry form using DOI - or continue without DOI:

Enter the names (last name, first name) of all contributing editors in the order and spelling specified in the publication using the button “Autor*in hinzufügen” (Add author). FU-Employees must be entered via “Suche FU-Beschäftigte” (Search for FU-Employees), while external authors (professors emeriti, lecturers, visiting scholars/scientists, grant holders) must be entered via “Sonstige*n Autor*in hinzufügen” (Add other authors) or “Listenerfassung sonstiger Autor*innen” (Add several other authors).

Please enter the journal’s ISSN in the field if you know it; the ISSN can be found on Ulrichsweb by searching for the journal’s name. Clicking the “Suchen” (Search) button will automatically fill in the journal’s name, place of publication, and publisher.

If you are an editor or co-editor of a journal series, please specify either the year or -if available - the volume numbers of the volumes published that year. For an annual journal or series, please submit only one entry per year, no matter how many issues or volumes were published that year.

Some journals do not specify volume numbers; in such cases, “Volume 2023” is sufficient as the volume information.

If the journal or series has (also) been published online, you can add the URL in the “URL” field.

Information about the language in which the article was written is required. You can select the language from the alphabetically sorted drop-down menu; the most commonly used languages are listed at the top of the list.

In the comments field, you can provide additional information or ask questions for the university bibliography.

Select the publication type “Rezension” (Review) from the drop-down menu.

Proceed to the entry form using DOI - or continue without DOI:

Enter the names (last name, first name) of all contributing reviewers in the order and spelling specified in the publication using the button “Autor*in hinzufügen” (Add author). FU-Employees must be entered via “Suche FU-Beschäftigte” (Search for FU-Employees), while external authors (professors emeriti, lecturers, visiting scholars/scientists, grant holders) must be entered via “Sonstige*n Autor*in hinzufügen” (Add other authors) or “Listenerfassung sonstiger Autor*innen” (Add several other authors).

If you know the ISBN of the book or the ISSN of the journal in which the review has been published, please enter it in the relevant field.

In the field “Rezensiertes Werk ggf. eigener Rezensionstitel” (Work reviewed; optional: title of your review) please enter the title, authors/editors, and, if applicable, the ISBN of the work reviewed, as well as the title of your review, if available.

The year of publication must be entered as a four-digit number.

Please enter the title of the journal or book in which the review appeared in the "Titel der Zeitschrift/des Buches" (Journal/book title) field.

The place of publication and publisher can be found in the journal or series (it’s not mandatory, simply leave the fields blank).

Enter the names (last name, first name) of all contributing authors in the order and spelling specified in the publication using the button “Autor*in hinzufügen” (Add author). FU-Employees must be entered via “Suche FU-Beschäftigte” (Search for FU-Employees), while external authors (professors emeriti, lecturers, visiting scholars/scientists, grant holders) must be entered via “Sonstige*n Autor*in hinzufügen” (Add other authors) or “Listenerfassung sonstiger Autor*innen” (Add several other authors).

Please enter the full title of the patent in the title field.

The year of publication must be entered as a four-digit number.

Please enter the location of the patent office in the “Erscheinungsort” (Place of publication) field, if known (e.g., Berlin=Deutsche Patent- und Markenamt).

Please include the date and publication number of the patent application and, if available, a link in the “URL” field.

Select the publication type “Rundfunk- und Fernsehbeitrag” (Radio and television posts) from the drop-down menu.

Enter the names (last name, first name) of all contributing authors in the order and spelling specified in the publication using the button “Autor*in hinzufügen” (Add author). FU-Employees must be entered via “Suche FU-Beschäftigte” (Search for FU-Employees), while external authors (professors emeriti, lecturers, visiting scholars/scientists, grant holders) must be entered via “Sonstige*n Autor*in hinzufügen” (Add other authors) or “Listenerfassung sonstiger Autor*innen” (Add several other authors).

In the title field, enter the title of the post. You can enter any subtitle in the “Untertitel” (Subtitle) field.

The year of publication must be entered as a four-digit number.

Specify the broadcaster in the “Sender” (Broadcaster) field (e.g., Südwestrundfunk).

In the “Sendetermin, Sendung, Uhrzeit” (Broadcast date, program, time) field, please enter the date and name of the program (e.g., Program: SWR 2 Wissen) as well as the time (if known) of the first broadcast.

You can add a link to the program in the “URL” field.

Select the publication type “Andere elektronische Veröffentlichung” (Other publications online) from the drop-down menu.

Enter the names (last name, first name) of all contributing authors in the order and spelling specified in the publication using the button “Autor*in hinzufügen” (Add author). FU-Employees must be entered via “Suche FU-Beschäftigte” (Search for FU-Employees), while external authors (professors emeriti, lecturers, visiting scholars/scientists, grant holders) must be entered via “Sonstige*n Autor*in hinzufügen” (Add other authors) or “Listenerfassung sonstiger Autor*innen” (Add several other authors).
