Exporting from EndNote and Importing into Zotero
- Information from custom fields (the ones you’ve filled in yourself) may need to be transferred to another field if you want to continue using it; otherwise, it will end up in a note.
- The “Edited Book” reference type does not exist in Zotero. You should tag these titles with an appropriate keyword or export and transfer them separately so that you can edit them in Zotero.

Important: To ensure that PDFs are found and linked, the XML file must be saved in the same folder as the folder containing the PDFs. This is usually the folder with the .DATA extension (the default is My EndNote Library.Data).
- Check personal names (order and completeness).
- For organizations/institutions (in “Author,” “Editor,” etc.), click “Switch to Simple Field” after the name.
- Part-whole relationships (e.g., article in an anthology—anthologies do not exist in EndNote); decide whether you want to create a corresponding “book” entry for each “book chapter” and link the two entries together.
- In EndNote, there are different publication types for "Book" and "Edited Book"; in Zotero, everything is categorized under the "Book" entry type, and during XML export, the editors are listed as authors.
- After importing into Zotero, click “Author” in the title details and select “Editor” from the menu (before doing this, you should have assigned a specific keyword to all entries with the type “Edited Book” in EndNote (see instructions below)).
- Check role labels and author fields even for less common publication types such as websites, films, etc.
- Check the entry type in Zotero for less common publication types; for example, a data set becomes a report.
- When exporting to XML, URLs for the "Website" type are moved to attachments; as a result, they are not included in citations
- Copy the URL from the attachment to the details
- Anything that cannot be transferred to a field ends up in a note, and having many notes can affect performance. The entries have been tagged with “_EndNoteXML import” and need to be reviewed.
- Select the tag in the overview, then review and edit the notes, or delete them if necessary.
- Text formatting such as bold or italics is lost.
- However, EndNote-specific IDs and custom fields can be transferred to notes; for instructions, see https://www.zotero.org/support/kb/endnote_import#ris_format_alternative.
- URLs are not converted to attachments, so they are included in citations.
- Publication types are less likely to be incorrectly “translated” (e.g., a dataset is not converted to a report).
The groups and group sets created in EndNote are not transferred to Zotero during either XML or RIS export.
There are two ways to "transfer" the groups you've created.
Option 1 – Export by group
- First, create “Collections” in Zotero and name them the same as your Groups/Group Sets.
- Then export each Group one by one to an XML file and import these into the Collections you created in Zotero.
- In doing so, you’ll export and import titles twice (or multiple times, if they were included in multiple groups in EndNote).
- These records can be merged back together in Zotero later (see https://www.zotero.org/support/duplicate_detection).
Option 2 – Assign keywords to titles in the groups in advance, which will be transferred to Zotero
- Keywords in EndNote are, in some cases, subject headings from library portals and databases; you may have assigned some yourself.
- Review the existing ones and decide whether you still need them or can delete them all; this will make the rest of the process easier.
- Delete all keywords, if necessary.
Delete Keywords
- Select “Change/Move/Copy Files” from the “Library” menu.

- In the new window, on the "Change fields" tab, select "Keywords" after "in" and "Clear" below it; then click "OK" to confirm.

Assign Keywords
- Open a group.
- Select all references within it, then go to the "Library" menu and select "Change/Move/Copy Fields".

- In the new window, on the “Change fields” tab, select “Keywords” after “in,” and below that, select “Insert after field’s text:” (this ensures that existing keywords are not deleted if, for example, you have already added a keyword for a group).
- In the adjacent field, enter the respective group name or a corresponding code; pressing Enter before it ensures that multiple keywords are separated from one another.

- Confirm by clicking "OK".
- Repeat for all groups.
- In Zotero, each source will then have the appropriate tags. You'll need to decide whether to stick with this approach or use the tags for filtering, and then create collections in Zotero and organize the relevant sources there.
