What additional funding is available for scholarship recipients with children?

Erasmus+ with Family: Funding for Accompanying Children

Reconciling work and family life is a key priority of Erasmus+. If you are planning a period abroad and your minor children accompany you, you can apply for additional financial support to cover the resulting extra costs.

  • Individual needs: Additional expenses related to your stay abroad may be funded—for example, larger accommodation, travel tickets for your children, or childcare at your destination.
  • Real-cost application: Funding is granted through an individual real-cost application, based on a calculation of the actual additional expenses incurred.
  • Advice: We are happy to support you with planning and submitting your application.

What Additional Costs Can Be Funded?

Only those additional costs directly incurred as a result of your minor children accompanying you abroad can be funded.

Examples of eligible additional expenses include:

  • Travel costs: Train or flight tickets for the child or children
  • Accommodation: Additional costs for larger, family-friendly accommodation
  • Childcare: Necessary childcare costs at the destination (e.g. a place at a daycare centre, childminder, or childcare services)

Note on calculation: Only the actual additional costs are eligible for funding. Regular living and travel expenses that you would have incurred as an individual anyway will be deducted.

Reimbursement & Experience Report

Two steps are required to successfully complete the project after your return:

  • Proof of costs: Reimbursement of the actual additional expenses incurred, based on all collected original receipts and proof of payment
  • Experience report: Submission of the official Erasmus+ final report (EU Survey)

Deadline & documentation requirement: Please submit all documents to us no later than two months after the end of your stay. The original receipts will remain with Freie Universität Berlin for any potential audits.

Requirements for Additional Funding

An actual-cost application for accompanying children may be approved if the following conditions are met:

  • Duration of stay: The minor child accompanies you for the entire duration of your Erasmus+ stay.
  • Relationship to the child: The child is your biological, adopted, or foster child.
  • Need: The child’s accompanying you results in demonstrable additional costs.
  • Justification: The application briefly explains why childcare for the child at the place of residence cannot be ensured during your stay abroad.

Application & Lead Times

We will prepare the actual-cost application together with you. Freie Universität Berlin is the official applicant; the central Erasmus+ coordination team is responsible for submitting the application to the National Agency (DAAD).

  • Lead time: The complete application must be submitted to the DAAD no later than two months before the start of the mobility. We therefore ask you to contact us as early as possible.
  • Supporting documents: All claimed additional costs must be plausibly explained and documented (e.g. quotations for larger accommodation, ticket prices, or childcare cost estimates).
  • Coordination: Short-notice coordination may be necessary as part of the DAAD’s formal review process.
